Make Receipts and Invoices Searchable with OCR

A folder of scanned supplier invoices or receipt photos cannot be searched for a vendor, an amount or an invoice number. OCR adds the printed text to each file, so you can find records in seconds, copy figures into a spreadsheet and hand tidier files to your accountant.

How to Make Receipts Searchable

  1. Collect the files Use scanned PDFs or phone photos (JPG, PNG, WEBP). Several photos can be uploaded together and become one PDF, one image per page.
  2. Choose the languages Add the languages printed on the receipts – for example English and Spanish for travel receipts.
  3. Download PDF and text Save the searchable PDF; the recognized text is also shown to copy or save as a .txt file.
  4. File them clearly Name each file with date, vendor and amount, for example 2026-03-14_Office-Supplies_84.50.pdf.

Tips for Receipts and Invoices

Photos work well

Lay the receipt flat, use even light without shadows and fill the frame with the paper.

Thermal receipts fade

Till receipts printed on thermal paper fade within months. Photograph them early; faded print is read poorly.

Copy amounts carefully

Check decimal points and commas after copying – OCR can misread 8 and 3 or a comma and a full stop on small print.

Line items to Excel

For invoices with tables, PDF to Excel reads the rows into a spreadsheet and recognizes scanned pages itself.

One file per month

Combine the searchable PDFs of a month or a trip with Merge PDF.

Smaller files

Many phone photos make a large PDF. Compress PDF shrinks it before you email it.

Good to Know

  • Tax authorities have their own rules for keeping digital copies of receipts, including whether the paper original may be thrown away. OCR does not change those rules – check them with your accountant or tax office.
  • OCR reads printed text well. Handwritten notes, stamps and very small print may be missed or misread.
